Who we are and how to contact us

Tradeforce Systems, LLC provides ServusOne and operates this marketing site. This policy explains how information is handled in connection with both.

To ask a privacy question or make a privacy-related request, use the ServusOne contact page.

Information we handle

Contact and support information: name, business name, email, inquiry category, message, and related communications when you contact us.

Account and service information: account identifiers, business and user profile details, permissions, service configuration, and the records needed to provide and support ServusOne.

Billing information: plan, subscription, invoice, transaction, and payment-status information. Payment providers may process payment details under their own terms and notices.

Security and technical information: ordinary web requests, IP address, browser and device information, timestamps, diagnostic events, and security records used to deliver and protect the site and the service.

Privacy choices: the policy version, category choices, anonymous consent receipt identifier, and — for an allowed optional category — the time our database recorded the decision, all held in the browser storage record described in the Cookie Policy, together with the consent audit records described there.

Contact messages on this site

When you submit the contact form, the name, business name, email address, and message you entered are sent by email to a private ServusOne mailbox. Delivery is handled server-side by Resend, our email delivery provider, and your email address is set as the reply address so we can answer you.

This site publishes no public email address, stores no copy of your message, and keeps no database of submissions. Once the message has been emailed, its retention is the retention of the mailbox that received it.

If delivery is not available, the site tells you the message was not sent rather than reporting a false success. It never claims a message was delivered when it was not.

To limit automated abuse the form is rate limited. The limit counter is keyed on a one-way SHA-256 value derived from your submitted email address and your connecting IP address. That derived value cannot be reversed, your IP address itself is not stored, and neither is used for any other purpose.

How we use information

To provide, operate, secure, troubleshoot, and improve ServusOne and this marketing site.

To respond to sales, support, billing, partnership, and general inquiries.

To administer accounts, subscriptions, billing, and service communications.

To detect abuse, protect users and systems, enforce applicable terms, and comply with legal obligations.

To measure the conversion actions described below, using optional analytics technologies, only where your own consent choice allows it and that choice has been recorded.

Measurement and optional technologies

This site uses Google Analytics 4 for one purpose: measuring seven named conversion actions. No analytics script is loaded, and no measurement data is sent, unless you have allowed the analytics category and that decision has been recorded in our consent audit.

The seven measured actions are: starting a free trial, viewing the plan comparison, expanding a plan's detail, requesting contact with sales, successfully submitting the contact form, and following the application log-in and registration links.

Automatic page-view measurement is switched off. This site does not measure page views, scrolling, hovering, mouse movement, session replay, or heat maps.

No name, email address, company, or message content is ever attached to a measurement event. The only detail sent alongside an event is which pricing plan it referred to.

Withdrawing the analytics category stops measurement immediately, without waiting for anything, and the analytics script is not loaded again unless you allow it once more.

An allowed analytics choice is refreshed at least every 24 months. After that we stop relying on it: measurement stops, the privacy panel reopens, and nothing is measured again until you make a fresh choice and it has been recorded.

No advertising, retargeting, or marketing category is offered or used.

The site's privacy preference control offers a category-level choice. Choosing an optional category does not activate a service that has not been separately approved and configured. See the Cookie Policy for what is stored in your browser and what is recorded on our servers.

Service providers and disclosures

We may use service providers for hosting, security, payment processing, communications, support, and other functions needed to operate ServusOne. They may process information for the services they provide to us.

For this marketing site specifically: Cloudflare, Inc. hosts the site and operates the database holding the consent audit records described in the Cookie Policy. Resend delivers contact-form messages to our private mailbox. Google LLC receives the seven conversion measurement events described above, and only for visitors who have allowed the analytics category.

We may also disclose information when reasonably necessary to comply with law, protect rights and security, investigate misuse, complete a business transaction, or act with your direction.

Tradeforce Systems, LLC does not claim that personal information is sold. This policy also does not claim that analytics or advertising tracking is active when it is not.

Retention and security

Retention varies with the purpose for which information is handled, operational needs, contractual requirements, security needs, and applicable law. Except where this policy states a specific period, it does not state a fixed retention period.

Consent audit records specifically: evidence of an active consent decision is retained while we are relying on that consent; an allowed optional category is relied upon for at most 24 months before you are asked again; and once consent is withdrawn, refused, or the policy version it was given against is superseded, the historical record is retained for a further 36 months and is then deleted by a scheduled maintenance process. The Cookie Policy describes this in full.

Contact messages are a different thing from consent records and are not covered by that period. A message you send through the contact form is delivered to a private mailbox and is not stored by this site, so its retention is the retention of that mailbox and of our ordinary business correspondence.

We use administrative and technical safeguards appropriate to the information and service, but no system can be guaranteed completely secure.

Your requests and choices

You may ask about, correct, or request deletion of information associated with you, or raise another privacy concern, through the ServusOne contact page. We will evaluate requests under applicable law and may need to verify a request or retain information where required or permitted.

You can change your optional browser-technology choices at any time using the privacy preferences control on this site. Refusing or withdrawing an optional category takes effect immediately. Allowing one takes effect once the decision has been recorded, and the panel tells you if that recording did not succeed.

Policy changes

We may revise this policy as ServusOne, our practices, or applicable requirements change. Updated language and a revised last-updated date may be published through this site.
